In this fast-changing world, one can’t stick to the same job for years. Changing a job is a normal process. Whatever be the reason for your resignation, you have to fulfil all due responsibilities and notice period. 

Your past employer issues a relieving letter as proof that you have cleared all the formalities for leaving that job. 

A relieving letter is one of the necessary documents your new employer will ask for. This letter plays a vital role in the hiring process. This letter is proof that you are a loyal and responsible person.

Writing a Relieving Letter: Tips

Consider the following while writing a relieving letter:

  • Write the date of issuance at the top of the letter
  • Write the details about the employee under the date of issuance. These details include the employee's full name, job description, department, and name of the company.
  • Write a subject so that someone reading it finds out the purpose of that letter. You can just write “Relieving Letter”, but it is better to mention the employee's name
  • “Dear” followed by the employee’s name is an excellent way to start
  • After the opening salutation, say that the company has accepted the resignation. Write about the role and state the last workday of the employee.
  • A thanking statement after this will be perfect. Thank the employee for their contributions to the company
  • Write a simple closing salutation like Sincerely/ with kind regards  
  • Like every other professional letter put your signature, including your name, your job title company name and date of signature 

Things to be considered while writing Relieving Letter

  • Write relieving letter on letterhead
  • You can use the statement “To whom it may concern”
  • Start writing the letter by mentioning that the resignation has been accepted 
  • Write in professional and straightforward language 
  • Proofread and correct any grammatical error
  • Don’t make the letter too long 
  • Handover the letter to the employee in positive note
